As the VP of Sales, I have a Deal Strategy Review call with every sales rep every week for 30 mins.

Before each call with each sales rep, I read through their opportunity notes and document all of the red flags and questions I have about their deals.

Then, when we sit down together for our Deal Strategy Review, rather than updating me on every deal, we immediately focus on at-risk opportunities and work through a plan to de-risk and advance them or release them.

This helps me KNOW the deals in our pipeline, forecast more accurately and hit our revenue number, so that I get to keep my job and keep getting paid!

How to use this template

Here is how you can quickly download this call notes template and start knowing every deal in your team's pipeline with greater clarity:

  1. Review all tabs to familiarize yourself with the content.
  2. Determine your sales methodology and the CRM fields required to support your methodology. These fields are where your reps will input their notes.
  3. Document the fields required within your CRM and then input example notes for how you want them structured.
  4. Gather input from your sales leadership and reps. Iterate based on valuable feedback.
  5. Then implement the fields in your CRM and conduct trainings for your sales teams.
  6. Once they are trained, they are expected to do this. It was a non-negotiable. If they didn't do it, we would have to talk about transitioning them to their next opportunity outside the company. That's how serious we take sales call notes.

This is how we KNOW our deals. This is what we use to forecast sales more accurately, instead of using arbitrary percentages based on the stage of the opportunity.

Plus, detailed sales call notes like this helped our customer success team better understand the customer problems and vision post-sale. It was also helpful for revisiting closed-lost opportunities months or years later because we can look back at historical context into prior opportunities.
